What was going wrong
- Applications arrived as WhatsApp messages. Someone had to read each one, check whether the referrer was a real member, and reply by hand. Nothing was searchable afterwards.
- Orders lived in the same group chat as the small talk. Two people could claim the last jar of the same product, and nobody found out until the shelf was empty.
- Stock was a paper book. The count at the end of the month rarely matched the count at the start, and there was no way to tell where the gap came from.
- Cannabis clubs answer to POPIA on member data. A group chat and a paper book cannot show who saw what, or when.
What we did about it
- We split the work into separate apps, so a public form filled in by a stranger never runs on the same surface as the committee dashboard.
- Stock, orders and payments went onto one database with a fixed order workflow. An order cannot skip from captured to completed without passing through preparing and out for delivery.
- Every product category the club actually sells was modelled properly, rather than forcing edibles and pre-rolls into a shape built for flower.
- Notifications were built as their own service with three channels, because a member who reads WhatsApp will not read email, and the club cannot choose for them.
- Access is role-based, and every read or write against member data is written to an audit trail.
Where it stands now
- Applications are a form now. The referral is validated before a human sees it, and every application stays searchable.
- The committee sees stock and orders on one dashboard instead of scrolling back through a chat.
- Members browse and order in an app, and hear what is happening on the channel they already use.
- The club can answer a POPIA question with a record instead of a recollection.
